POSITION DESCRIPTION

Position Title : Assistant Program Administrator
Reports to : Senior Program Administrator (SPA)
Major Function: Under the direct supervision of the Senior Program Administrator the Assistant Program Administrator will be responsible for providing administrative and financial support for the management of major grants and agreements. S/he will also be engaged in providing support to the Senior HR Officer for various HR functions. This position requires frequent travel to the field.
Major Duties and Responsibilities:
1. Grant Preparation
Assists the SPA preparing all major grants to various Government organizations.
2. Proposal Budgeting
Assists SPA in preparing budgets for project concepts and proposals to be submitted to donors.
3. Field Financial Data
Responsible for monthly compilation of financial data from the project offices. Will also be responsible for reporting donor wise project budget versus expenditure including match / kind expenditure.
4. Financial Monitoring and Audit Facilitation
Take active part in planning and organizing financial monitoring of projects including facilitating external and internal audits.
5. Support to project offices
Supports the project offices in procurement from Kathmandu of any goods and service, preparation of activity based-budgets for the projects, quarterly forecasting, implementation of primary donors' requirements.
Serves as a focal point in Kathmandu for project staff on the above-mentioned issues, and provides them with solutions on administrative and financial issues in consultation with SPA.
Takes care of the insurance in all the field project offices pertaining to vehicles, office equipment, staff medical and accidental insurance.
6. Recruitment and On Boarding
Supports the Senior HR Officer and Executive Officer in the recruitment process in long listing of candidates. Coordinates interviews and reference calls. Assists in new staff orientation and on boarding process.
7. HR Events
Assists the Senior HR Officer in organizing all HR events.
8. Any other Duties
Performs any other duties as assigned by Supervisor as and when required.

IV. Working Relationships:
Internal: This position works closely with WWF Nepal staff at the centre, region and projects to advise and coordinate project and administrative activities and to obtain and disseminate information.
External: Interacts regularly with Donors and Grantees, Service contractors, Consultants. Regularly interacts with SPA, SHRO and Contracting staff at WWF-US, and other network and foundation staff involved in contracting. Interacts regularly with government agencies staff.

V. Minimum Educational and Work Experience Requirements:
Knowledge: Bachelor's degree in Management or a relevant degree with thorough knowledge of computerized accounting systems.
Experience: At least 3 years of experience in a similar position. Prior experience in areas of Grants Administration and Project Financial Management is desirable.
Skills and Abilities: This position requires attention to detail, the ability to keep accurate financial records and the ability to effectively prioritize and work accurately under time constraints. Personal interest in international conservation and development issues in desired.
